2. Scope

This Privacy and Cookies Policy explains what personal data we collect, for what purposes, on what legal basis, how long we keep it, who we share it with and what rights data subjects have.

It applies to everyone who visits the veicomer.com website, creates a customer account, places orders or contacts us through the forms available.

3. Personal data we collect

We only collect the data needed for the purposes set out in this Policy:

  • Customer account: name, email, password (stored in encrypted form) and, if provided, phone number.
  • Orders and invoicing: name, company, VAT number, billing and shipping address, phone, email, products ordered, amounts and order history.
  • Payments: the payment method chosen and information on the payment status. VEICOMER does not have access to, nor does it store, full bank card details.
  • Contact and quote request forms: name, email, phone, component or engine reference, service required, message and any photographs you choose to send.
  • Communications: the content of messages and emails exchanged with us.
  • Technical data: IP address, browser and device type and pages visited, collected automatically for the operation and security of the website.

We do not intentionally collect special categories of data (for example, health data). Please do not include them in the messages or files you send us.

4. Purposes and legal basis for processing

We process personal data for the following purposes:

  • Managing customer accounts and orders (processing, payment, shipping, delivery, returns and guarantees): performance of a contract or of pre-contractual steps taken at the data subject’s request.
  • Invoicing and compliance with accounting and tax obligations: compliance with legal obligations.
  • Replying to contact and quote requests, including the technical assessment of components based on the photographs sent: pre-contractual steps taken at the data subject’s request and VEICOMER’s legitimate interest in replying to the requests received.
  • Handling complaints and disputes: compliance with legal obligations and the legitimate interest in defending VEICOMER’s rights.
  • Operation and security of the website (session, shopping cart, fraud and abuse prevention): legitimate interest and the technical need to provide the service requested.

VEICOMER does not send marketing communications without your prior consent. Should a newsletter become available, it will only be sent to those who expressly subscribe to it, and consent may be withdrawn at any time.

No decisions based solely on automated processing, including profiling, that produce legal effects or significantly affect the data subject are made.

5. Retention periods

Personal data is kept only for as long as necessary for the purposes for which it was collected:

  • Order and invoicing data: for the legal retention period for accounting and tax documents (currently 10 years).
  • Customer account: while the account remains active. You may request the deletion of your account at any time, without prejudice to keeping the data the law requires us to retain.
  • Contact and quote requests that do not lead to an order: up to 2 years after the last contact.
  • Complaints and disputes: until final resolution and for the applicable limitation period.

After these periods, the data is deleted or anonymised.

6. Sharing data with third parties

Personal data is only shared when necessary for the purposes set out, with:

  • Payment service providers: Eupago (Multibanco, MB WAY and credit card) and, where available, PayPal. These entities process payment data in accordance with their own privacy policies.
  • Carriers and logistics operators (for example, TNT, UPS or other entities selected by VEICOMER): name, delivery address, phone and email, to make the delivery.
  • Technology service providers: website hosting, technical maintenance, email and certified invoicing software, acting as VEICOMER’s processors and only processing data on our instructions.
  • Public authorities (for example, the Portuguese Tax and Customs Authority or customs authorities), when required by law.

VEICOMER does not sell or transfer personal data to third parties for marketing purposes.

7. International transfers

As a rule, personal data is processed within the European Economic Area. For orders delivered outside the European Union, the data needed for delivery and customs procedures is shared with the carriers and authorities of the destination country. Where a service provider processes data outside the European Economic Area, VEICOMER ensures that appropriate safeguards are in place, in accordance with the GDPR.

8. Security

VEICOMER adopts appropriate technical and organisational measures to protect personal data against loss, unauthorised access, alteration or disclosure, including encrypted communication (HTTPS) across the whole website and restricted access to data by authorised persons only.

9. Data subject rights
